Panther Labs In-Person Health and Safety Policy

 

Background

As a remote-first company, all work, information, and communication are accessible to all employees regardless of their working location. However, the team occasionally meets in-person to establish stronger rapport and create a break from fully remote interactions.

When supporting meetings and working in person, our top priority is the health and safety of our employees, customers, partners, vendors, and contractors. Consequently, we are implementing clear guidelines below for in-person meetings and events.

Changing Guidance

When the WHO identifies a new variant of concern that results in significant changes to travel or masking requirements, all in-person events scheduled within the next two months should either be rescheduled, canceled, or shifted to virtual.

Working in a Physical Office

In-person work from a physical office space, such as our HQ or any co-working space, will only be allowed under the following conditions:

  • Adhere to local mask and social distancing requirements if applicable.
  • All attendees must be fully vaccinated (2 shots + booster) against COVID-19.
  • Follow CDC symptom and exposure guidelines and do not exhibit any listed symptoms.

It is encouraged that employees test themselves regularly.

  • Rapid tests will be made available in the office for convenience, so please block time accordingly, or take a PCR test prior to attending.

Exemptions

Team members who are unable to be vaccinated due to qualified medical or religious exemptions may file for an accommodation with the People team by contacting hr.

All requests will be reviewed and will require documentation and engagement through the interactive process. In order to accommodate, we may ask for additional safety precautions, such as mandatory masking, distancing, and additional testing.

As a precaution, we will also space desks 6 feet apart from each other and ensure our office has proper ventilation.

Meeting with External Parties (Board, Customer, Partner)

When organizing an in-person meeting with an external party such as a customer, candidate, or partner who does not work for Panther, you should communicate all our requirements for the in-person events listed above.

If the customer or partner does not have similar requirements or is not willing to follow our requirements, you should request to meet virtually instead of in person. If the customer or partner refuses to meet virtually, please escalate to your manager.

Attending Company Events

In order to attend an in-person event with 6+ individuals, such as a team meetup, dinner, or planning session, we require the following before the event:

  • Submit proof of full vaccination, with the second shot or a booster vaccine dose ideally within five months of the start of the event.
  • A negative test result from a sample taken within 72 hours of the first day of the event, ideally a PCR test if locally accessible.
  • Exclusion if the individual exhibits any symptom(s) of COVID-19.
  • For events with 50+ people, the venue should include an outdoor space that can accommodate all attendees.

During the event, organizers should:

  • Make rapid tests available at the door for anyone unable to secure a PCR test within 72 hours of the event.
  • Ensure attendees comply with all local guidance around masks and social distancing.

After the event, all attendees should:

  • Complete a test 5-7 days after the event, and report any positive (i.e., infected) results to HR.
